Policies, Terms & Conditions: 2025 Avoya Travel Conference

Avoya Travel is dedicated to providing a respectful and harassment-free conference experience for everyone. We do not tolerate harassment of employees or conference participants in any form, and it is imperative that anyone who attends an Avoya Travel event feel comfortable, safe and respected. Employees and/or Conference participants violating these rules will be sanctioned or expelled from the conference and may be banned from future Avoya events at the discretion of the event organizers.

Harassment includes, but is not limited to the following:
Offensive verbal comments related to gender, gender identity and expression, sexual orientation, disability, physical appearance, race, national origin, religion, age, marital status, military status, or any other status protected by law.
Deliberate verbal or physical intimidation.
Stalking and/or following.
The use of harassing or inappropriate photography, audio or video, text or email messaging.
Inappropriate physical contact including unwelcome touching and/or sexual attention.
Harassment can occur when there is no deliberate intention to offend. Harassment committed in a joking manner or disguised as a joke or compliment still constitutes unacceptable behavior. Sexist, racist, and other exclusionary jokes and comments are offensive and a violation of this policy.
Participants requested to stop any behavior(s) are expected to comply immediately.
If a participant engages in inappropriate or harassing behavior, event organizers retain the right to take any action(s) deemed necessary. This includes a verbal warning to the offender and/or up to potential expulsion from the conference.
Participants are expected to follow these rules at all event venues and event-related social activities including after-events and gatherings or interactions that are not part of the formal event program.
Should anyone cause you or anyone else to feel uncomfortable, unsafe, unwelcome, or disrespected, please report it as soon as possible to a member of the Avoya Travel events staff.
When receiving a report of wrong-doing and gathering details, our staff will ensure the matter is handled with as much discretion as possible and on a confidential need to know basis.

Due to the likelihood of this event selling out, immediately in effect, your registration costs are non-refundable. If the Avoya Events Team is able to fill your cabin, your registration fees may be refundable, less a cancellation fee listed below:

Should you cancel before April 30, there will be a $45 per person cancellation fee.
Should you cancel between May 1 - June 30, there will be a $149 per person cancellation fee.
Should you cancel after July 1, your registration costs will be non-refundable.

The Events Team will do what they can to refill your room, but please note it will take time to fill.

Once and/or participation in any 2025 Avoya Travel Conference by an Independent Agency or Independent Licensed Agent is entirely optional.
Avoya Travel is not responsible for any non-refundable travel costs you choose to book. We highly encourage Travel Protection Insurance.
Remember the only rule at Avoya is to act with integrity and professionalism. Not showing up for a vendor's presentations when they have subsidized travel, would be considered a lack in professionalism.
In order to attend the 2025 Avoya Travel Conference, an Independent Agency must have a valid TPSA during the 2025 Avoya Travel Conference dates and the Independent Agency must be in good standing at that time.
Additional Licensees of an Independent Agency affiliated with Avoya Travel must have a current license agreement with Avoya Travel and be in good standing in order to secure a room for the 2025 Avoya Travel Conference.
Only Independent Agency Owners and/or additional licensees under an Independent Agency in the Avoya Travel Network will be allowed to register at the Independent Agency Owner and/or Additional Licensee of an Independent Agency rate.
Avoya Travel will do its best to accommodate special requests, however requests are not guaranteed.
While attending the 2025 Avoya Travel Conference is completely optional, please know that in order to secure these amazing events from our supplier partners, they have an understanding that the 2025 Avoya Travel Conference is an educational event and NOT a leisurely FAM trip. Therefore, please keep in mind that all sessions and social events are part of the event and there is an expectation, from both Avoya and the supplier, that you will demonstrate professionalism and integrity by attending. If you are looking for a FAM or vacation get away, this is not the event.
In addition, to show support and gratitude for our suppliers, you will be required to attend all sessions and social events. By registering for this event, you agree to attend all sessions. While your choice, if you choose not to attend, we reserve the right to charge your account the going rate/fare.
Should you select a double occupancy room and your guest 'no show', the Events Team reserves the right to charge an additional $200 no show fee on top of your registration costs.
